A payout report explains how payment activity became the net amount sent to your bank. Use the report period, transaction rows, fees, refunds, and adjustments to reconcile the deposit.
Open the report
- In Karma, open Analytics & Reporting → Payouts.
- Select Payout Reports.
- Open the report for the payout date or period you are reconciling.
- Check that its status is Complete.
- Use Download PDF for a readable summary or Download Excel (CSV) for row-level reconciliation.
The report header shows its date range, net payout, reference, and generation status. A custom-range report summarizes the selected dates; it is not itself proof of a separate bank transfer.
Read the rows
The CSV has one row per card transaction in the payout: captures, refunds and chargebacks. Each row shows Date, Order Reference, Type, Status, Gross Amount, VAT Amount, Tips, Fees, Net Amount, Line Items and PSP Reference, and a TOTAL row closes the file. The PDF summarises the same payout as Gross Captured, Total Refunds, Total Fees and Net Payout, followed by a product summary and a Financial Breakdown.
Depending on the activity in the period, the Net Payout is made up of:
- captured card payments, including tips;
- refunds and chargebacks, shown as reductions;
- Karma fees, shown per transaction in the Fees column and in total as Total Karma Fees;
- payments that were captured and then refunded because the purchase failed or was cancelled, shown as their own line and not as sales; and
- a Surplus fee correction (prior periods) line when Karma recovers Surplus fees from earlier periods that were not withheld at the time of sale.
The bank transfer itself is not a row. It equals the report's Net Payout.
The bank deposit should be compared with the report's Net Payout, not with gross sales. Gross sales can differ because money was refunded, charged as a fee, adjusted, or settled in another payout period.
Match an unfamiliar row
- Note the row's date, amount, type, order reference and PSP reference.
- Search the same period in Payments → Payment History.
- Open the matching payment or refund and compare its reference.
- Check whether the row was booked in this payout period even if the original sale happened earlier.
A row with the status unmatched is a payment Karma could not link to a purchase. It is included in Gross Captured but not in product sales. Other charges / adjustments in the Financial Breakdown is the part of Gross Captured that is not product sales or tips, such as service or delivery charges. Do not assign an amount to a sale only because the amounts are similar; use the reference and date.
Check a discrepancy
The sum of the rows can differ from the transfer when Adyen retains part of the balance for a following payout or releases balance kept from an earlier one. The PDF then shows a note with the amount. This is not an error, and Net Payout still matches the transfer.
If Karma shows Discrepancy Detected, the reconciled total does not match the Adyen payout amount.
- Download the CSV.
- Confirm that all rows use the expected currency and period.
- Check refunds, chargebacks, fees, and adjustments.
- Select Re-generate Report once if the underlying data has changed.
- Wait for the status to return to Complete before comparing again.
When to contact support
Contact support when a complete regenerated report still has a discrepancy or an adjustment cannot be identified. Include the location, payout reference, period, row reference, row amount, net payout, and bank booking amount. Do not send bank credentials.
