Connect and verify Fortnox

Connect Fortnox to send customer invoices or orders from Karma, reuse Fortnox bookkeeping dimensions, and deliver daily SIE bookkeeping data. Invoice handling and bookkeeping export are separate settings, so review both with your bookkeeper before enabling automation.

What the Fortnox connection does

The integration moves different data in different directions:

  • Karma → Fortnox invoices: when you select Send to Fortnox, Karma finds or creates the customer and creates either a Fortnox invoice or order. Karma keeps the resulting document linked in the invoice timeline.
  • Karma → Fortnox bookkeeping: nightly SIE export sends the previous day's bookkeeping either to the Fortnox inbox for manual import or directly to the ledger as a verification.
  • Fortnox → Karma accounts: Settings → Accounts → Sync imports active accounts and updates matches by account number.
  • Fortnox → Karma cost centres: Settings → Cost Centers → Sync from Fortnox imports cost centres and updates matches by code.

Account and cost-centre sync does not delete local records. Customer records are not imported from Fortnox into Karma; Karma creates or matches the Fortnox customer when an invoice is sent.

Before you connect

You need:

  • the Fortnox integration enabled for the correct Karma location;
  • permission in Karma to manage apps and financial settings;
  • a Fortnox user who can approve access for the intended company; and
  • agreement with your bookkeeper on invoice mode, revenue accounts, cost centres, and SIE booking mode.

Do not connect a live location to a test Fortnox company. If the connection page shows an upgrade instead of Connect, contact Karma to add the integration to your plan.

Connect the correct Fortnox company

  1. In Karma, open Apps → Fortnox.
  2. Select Connect to Fortnox.
  3. Sign in to Fortnox and approve access for the intended company.
  4. Return to Karma.
  5. Confirm that the integration shows Connected and the expected company name.

If the company name is wrong, disconnect before sending any invoice or bookkeeping data, then connect again with the correct Fortnox company.

Choose how customer invoices are created

Under Invoice push mode, choose:

  • Direct invoice — creates the document in the Fortnox invoice ledger and marks it as already sent.
  • Order — creates a Fortnox order for review and later conversion in Fortnox.

Changing to Order may require reconnecting Fortnox so Karma has the needed permission. An individual invoice recipient can override the location-wide mode when that customer needs a different workflow.

Then scroll to Fortnox invoice posting:

  1. Select a Revenue account. This is required before Karma can send invoice rows to Fortnox.
  2. Select an optional Cost centre to apply to every invoice row, or leave it empty when rows should not share one.
  3. Select Save Fortnox posting settings.

Send an invoice from Karma to Fortnox

Prepare and review the customer invoice in Karma first. See Create and manage customer invoices for the complete invoice workflow.

  1. Open Payments → Invoices.
  2. Open the draft and verify its recipient, reference, purchases, VAT, total, and due date.
  3. Select Send invoice….
  4. Select Send to Fortnox.
  5. Wait for Karma to confirm that the document was created.

Karma finds or creates the Fortnox customer, applies the reference and posting settings, and creates the configured invoice or order. Karma does not send its own invoice email when you choose Send to Fortnox.

Verify the Fortnox document

After Fortnox accepts the document, Karma marks the invoice sent and stores the Fortnox document number.

  1. Open the invoice in Karma.
  2. Scroll to Timeline.
  3. Confirm the Sent invoice to Fortnox event.
  4. Select the linked document number to continue in Fortnox when needed.

If the timeline does not show the event, do not repeatedly send the invoice. Check the displayed error and confirm in Fortnox whether a document was already created before trying again.

Sync accounts from Fortnox

  1. Open Settings → Accounts.
  2. Select Sync.
  3. Review the imported account number, description, and source.
  4. Assign the appropriate account to items or other posting settings.

Karma imports active Fortnox accounts. A new account number is added; an existing matching number is updated. Local accounts are not deleted by the sync.

Sync cost centres from Fortnox

  1. Open Settings → Cost Centers.
  2. Select Sync from Fortnox.
  3. Review each imported name, code, and source.
  4. Optionally choose a Default cost center for sales that do not already have one.

Karma adds a new cost-centre code or updates an existing matching code. It does not delete local cost centres. A table or device can use another cost centre, and the Fortnox invoice posting setting can apply one cost centre to every invoice row.

Choose how SIE bookkeeping is delivered

Turn on Nightly SIE export to send the previous day's bookkeeping each morning. Then choose a Booking mode:

  • Inbox (manual import) uploads the SIE file to Fortnox Inbox → Vouchers. A bookkeeper reviews and imports it in Fortnox.
  • Direct booking creates a verification in the Fortnox ledger. This cannot be undone from Karma, so confirm account mapping first.

Inbox mode gives the finance team a review step. Direct booking reduces manual work but should only be enabled after a successful test and bookkeeping approval.

Verify SIE sync history

On the Fortnox integration page, scroll to SIE sync history and select refresh. Check:

  • Status — for example, Delivered or Failed;
  • Period — the bookkeeping dates included;
  • File — the generated SIE filename or a visible failure message; and
  • Delivered — when Karma completed the attempt.

If something is wrong

  • Fortnox shows Not configured or authorization is missing: reconnect the integration and approve the requested permissions for the correct company.
  • Send to Fortnox is unavailable: confirm the integration is connected and a revenue account is selected under Fortnox invoice posting.
  • Order mode cannot be selected: reconnect Fortnox so the connection can request order access.
  • Account or cost centre is missing: run the relevant sync, then confirm the record is active in Fortnox and that you connected the intended company.
  • SIE export failed: read the latest history row, correct authorization or posting settings, and retry only after confirming whether Fortnox received the file.
  • Possible duplicate invoice or verification: stop retrying and check Fortnox first. Contact support if the result is unclear.

When contacting support, include the Karma location, Fortnox company, invoice number or SIE period, selected modes, displayed status, and exact error. Never send Fortnox credentials or API secrets.
